Background to the Opportunity

The opportunity has arisen for a Research Grants Officer to join our client’s Support Team. It is a temporary role working with a fantastic organisation in the city centre of Edinburgh. There will be interviews if you are immediately available and can start in the next 2-3 weeks.

Our client is based in Edinburgh and a extremely well know business in the UK.

The Role

Key responsibilities of the role include but are not limited to:

  1. Manage and control all aspects of the post award financial administration of externally funded research grants in a portfolio of approximately 100-120 grants.  This includes the reconciliation and monitoring of eligible expenditure, submission of sponsor driven documentations (e.g. Start Certificates, Grant Maintenance forms), compilation of claims, quarterly reviews, invoices, expenditure statements ensuring compliance to related regulations/terms and conditions
  2. Manage and monitor large complex projects, including partner institutions, multiple funders and any additional reporting/audit requirements
  3. Ensure timely reconciliation, perparation and submission of claims, invoices, financial reporting to sponsors of funding in accordance with their terms and conditions a within sponsor imposed deadlines
  4. Maintain clear and accurate records for audit purposes, both internally and externally complying with sponsor requirements and additional provision of detail, particularly UK Government and European Commission
  5. Provision and interpretation of financial reporting for Principal Investigators, administrators, and Finance Managers and external bodies where necessary
  6. Understanding and provision of advice, support and training on grant conditions and project accounting to Principal Investigators, Administrators and Finance Managers ensuring compliance and adherence to any specific terms on individual projects
  7. Set up new projects on the finance system (Oracle Financials) from the interface with our pre-award system ensuring all aspects for accounting and reporting are in place and correct.  This includes research categorisation, funding type, review of contracts, agreements, customer details, budgets, invoice schedules, staff recoveries and VAT treatment
  8. Reconcile Income and Expenditure on completed projects, making the necessary final accounting entries to enable final closure of the project
  9. Provision of month end accounting routines, monthly KPIs, maintenance of Oracle Projects Data and statistical information as required
  10. Provision of support, advice and reconciliation of Doctoral Training Grants, Studentships and other institutionally awarded grants with co-ordination of annual returns in conjunction with the Research Grants Manager and Assistant Manager
  11. Liaise with external partners, such as collaborating institutions, funding bodies and auditors as required
  12. Assist the Research Grants Manager and Assistant Managers to develop and implement improvements to working practices, services provided and administrative systems relevant to the Research Grants Office

Candidate Requirements

An accounting technician (or equivalent) qualification or relevant experience in Research Financial Administration is essential

Experience of accounting and administrative processes in a large organisation, a large accounting ledger software system (e.g. Oracle Financials) is also essential

The ability to work to strict deadlines and under pressure when required and preferable with experience within a FE/HE institution

Taking a pro-active approach to administrative and financial support, recent experience within research administration would be beneficial along with experience of working with large/complex/multiple projects

We are looking for a team player with excellent oral and written communication skills, with well developed inter-personal skills.  The ability to clearly communicate regulatory and procedural requirements to all levels of staff including academics and management with tact and diplomacy are essential

Excellent organisational skills with the ability to work with speed and accuracy are required in addition to being highly proficient in Microsoft Office applications, including Excel, Word, Outlook etc

The ability to interpret complex information and disseminate in accessible formats for audiences with different levels of understanding is required, along with the ability to work independently and flexibly across team/section boundaries to strengthen relationships.  Additionally the ability to be authoritative and knowledgeable in all areas of the schools research activities to evoke confidence and respect
